Accounting/Merchandise Assistant – Job No. 0806

The Rock and Roll Hall of Fame and Museum is currently considering applicants for the position of Accounting/Merchandise Assistant.  The Accounting/Merchandise Assistant reports to the Director of Licensing and Merchandise and the Senior Director of Finance. This position allocates time between the Merchandising and Accounting Departments and is responsible for processing all aspects of Museum merchandise and oversees e-commerce operations in addition to general administrative and accounting duties.

JOB RESPONSIBILITIES AND DUTIES:

  1. Processes all aspects of Museum merchandise for both internal and external customers.

    • Creates accurate input sheets, purchase orders, sales orders and invoices for Museum Store and merchandise vendors.
    • Reconciles a quarterly sales report for consignment memorabilia.
    • Maintains and provides accurate monthly inventory reports to various manufacturers on museum store sales.
    • Manages Museum store and vendor returns.
  2. Oversees e-commerce operations.

    • Reviews product and sales figures monthly with Merchandise Director.
    • Maintains and provides accounting with accurate monthly e-commerce reports.
    • Monitors e-commerce inventory levels on a weekly basis.
    • Maintains merchandise levels and stock room.
    • Fulfills e-commerce orders Monday through Friday. 
    • Updates accurate e-commerce inventory levels in database.
    • Schedules photo shoots with photographer and maintains merchandise image bank.
    • Writes original copy and revises copy for merchandise posted on e-commerce site.
    • Inputs merchandise data into the inventory system.
    • Inputs merchandise data on the e-commerce web site. This includes pricing, copy, re-sized image bank and UBIT status.
    • Orders and maintains supply levels in stock room.
    • Creates promotional banners.
    • Monitors and responds to customer inquiries and e-commerce newsletter inquires.
  3. Processes wholesale customer orders.

    • Updates wholesale inventory list.
    • Contacts potential and existing wholesale customers regarding new and existing product.
    • Creates accurate input sheets, purchase orders, sales orders and invoices for wholesale customer.
    • Packs and the delivers orders to the wholesale customer.
    • Updates monthly wholesale invoice reports and submit to accounting.

  4. Participates in yearly inventory.

    • Assists in physical inventory at various locations.

  5. Performs general accounting and administrative duties.

    • Processes daily incoming mail.
    • Matches purchase orders, packing slips, and courier service documents.
    • Codes vendor invoices.
    • Enters invoices into the Blackbaud system.
    • Distributes invoices for departmental approval.
    • Assists in processing invoices for payment.
    • Prepares checks for mailing.
    • Reconciles outstanding invoice statements.
    • Obtains missing invoice documentation from vendors.
    • Sends documentation to vendors.
    • Maintains and replenishes accounting department’s blank form stock for administrative staff.
    • Files invoice/checks back up, statements, and all other accounts payable related paperwork.

  6. Works on special projects or other duties as assigned by Merchandise Director and/or Senior Director of Finance.

Duties include but may not be limited to the above.

JOB REQUIREMENTS AND QUALIFICATIONS:
  1. Education Level:  Ability to read and demonstrate basic oral, written, mathematical and manual skills. Ability to communicate in Standard English.  High school graduate and equivalent professional experience. 

  2. Experience in Field:  A minimum of two (2) years professional experience in office/fulfillment environments.  Experience with inventory management or reporting preferred.

  3. Unique Expertise/Certification/Registrations:

    • Basic knowledge of marketing and sales principles.
    • Excellent written and verbal communication skills.
    • Solid negotiating skills.
    • Ability to organize and prioritize work to meet objectives and deadlines.
    • Excellent interpersonal skills.
    • Ability to successfully pass a Rock and Roll Hall of Fame and Museum reference check, background investigation and drug screening.
    • Computer Literate:  Strong computer skills, Microsoft Office, Excel and Internet Explorer. Preferred exposure to inventory/accounting systems.
  4. Working Conditions:

    • Environmental Parameters:  Ability to work in a window-less office.
    • Physical Demands: 


      • Strength:  Ability to lift/move up to 40 to 60 lbs. (approximately).

      • Type: Express or exchange ideas by means of spoken word and to perceive nature of sounds.  Ability to hear accurately to interact with the public and employees.  Demonstrate clarity of vision; judge distance and space relationships; identify and distinguish colors.  Ability to perform tasks concurrently.

WORK SCHEDULE:

Ability to work 40 hours per week; any shift as assigned, including evenings, weekends and holidays.  Ability to work additional hours as workload demands.  Hours are primarily 8:30 am – 5:30 pm Monday through Friday.
